Terms and Conditions for Harrow Weald Carpet Cleaners

Carpet cleaning technician preparing equipment before a service appointmentThese Terms and Conditions govern the provision of carpet cleaning and related domestic and commercial cleaning services supplied by Harrow Weald Carpet Cleaners (“we”, “us”, “our”) to customers (“you”, “your”). By making a booking, confirming an estimate, or allowing our technicians to begin work, you agree to be bound by these terms. Please read them carefully before arranging any service. If you do not accept these Terms and Conditions, you should not proceed with a booking.

These terms are intended to set out a clear and fair basis for the supply of our services. They apply to all standard carpet cleaning appointments, including stain treatment, deodorising, upholstery add-ons, rug cleaning, and other agreed cleaning tasks. They also apply to any survey, quotation, or inspection carried out before the service begins. Nothing in these terms affects your statutory rights as a consumer under UK law.

Professional carpet cleaning process with upholstery and floor care toolsFor clarity, references to “carpet cleaning services” include any variation of our service offering, whether booked as a one-off clean, part of a recurring arrangement, or combined with related cleaning tasks. Where a special arrangement has been agreed in writing, that arrangement will apply only to the extent it does not conflict with these Terms and Conditions.

1. Booking Process

All bookings are subject to availability and acceptance by us. A booking request may be made by telephone, email, online form, or any other channel we make available from time to time. A request does not form a binding contract until we confirm the appointment and, where applicable, receive any required deposit or prepayment. We reserve the right to decline any booking at our discretion, including where access, safety, or service suitability concerns arise.

When you book Harrow Weald Carpet Cleaners, you must provide accurate and complete information about the property, the items to be cleaned, the nature of any stains or damage, and any relevant access instructions. You must also inform us of anything that may affect the delivery of the service, such as delicate fibres, pre-existing wear, colour loss, pet contamination, water damage, or prior treatment by another contractor. If the information provided is incomplete or inaccurate, we may need to revise the quote, alter the scope of work, or refuse to proceed.

Any estimated arrival time is provided in good faith but is not guaranteed. Traffic, weather, equipment issues, or earlier appointments may affect scheduling. We will make reasonable efforts to keep you informed of significant delays. If our technician cannot access the property at the agreed time due to your failure to provide access, we may treat the appointment as cancelled by you and charge a cancellation fee where permitted by law.

2. Scope of Service

We will perform the services agreed at the time of booking using reasonable skill and care. Carpet cleaning may include vacuuming, pre-treatment, hot water extraction, low-moisture methods, stain-targeting products, deodorising, and post-clean grooming, depending on the service selected and the condition of the materials. The precise method used will be determined by our professional assessment on site, taking account of fibre type, level of soiling, and the safety of the item being cleaned.

Close-up of carpet cleaning treatment being applied to a floor coveringYou acknowledge that cleaning results may vary depending on the age, construction, wear, staining, dye stability, previous treatment, and general condition of carpets or upholstery. Some stains may be permanent or only partially removable. We do not guarantee complete stain removal, restoration of original colour, or elimination of all odours. Where necessary, we may refuse to treat an item if we believe the risk of damage outweighs the likely benefit of cleaning.

If you request additional work on the day of service, such work will only be carried out if time, equipment, and product suitability permit. Any extra work may incur an additional charge, which will be explained before the work begins where reasonably practicable. We are not obliged to perform work that falls outside the agreed scope, is unsafe, or requires specialist restoration beyond a standard cleaning service.

3. Pricing and Payments

Unless otherwise agreed, prices are based on the information you provide at booking and are subject to revision if the actual service requirements differ materially from the information supplied. Quotations may be provided as estimates or fixed prices. An estimate is not a fixed price and may change if the scope of work, access conditions, or room sizes differ from those stated. A fixed price will apply only to the agreed service description and assumptions.

Payment terms will be confirmed before or at the time of booking. We may require full payment in advance, a deposit, or payment on completion, depending on the type of appointment and scheduling arrangements. Accepted payment methods may include bank transfer, card payment, cash, or other methods we specify. If payment is due on completion, it must be made immediately after the service has been carried out unless otherwise agreed in writing.

Where a deposit is taken, it secures the booking and may be non-refundable in the circumstances set out in the cancellations section below. Failure to pay any deposit or outstanding balance by the agreed deadline may result in cancellation of the booking. If payment is not made when due, we reserve the right to charge reasonable recovery costs and any interest permitted under applicable law.

4. Customer Responsibilities

You are responsible for ensuring that the work area is reasonably prepared before we arrive. This includes moving small personal items, fragile objects, and valuables from the cleaning area where necessary. You should also ensure that access is safe and unobstructed. We may assist with light furniture movement at our discretion, but we are not obliged to move heavy, built-in, fixed, or hazardous items.

You must notify us of any health and safety risks, such as exposed wires, unstable flooring, asbestos concerns, infestations, excessive pet waste, or unsafe electrical installations. If the environment is unsafe, we may suspend or terminate the service until the issue is resolved. Where your failure to prepare the site causes delay, additional labour, or repeat attendance, we may charge an extra fee.

It is your responsibility to secure pets, supervise children, and protect any delicate surfaces or items that could be affected by water, heat, detergents, or equipment noise. We will take reasonable care during the service, but we cannot accept responsibility for damage caused by items left in the work area contrary to our instructions or by known pre-existing defects.

5. Cancellations and Rescheduling

You may cancel or reschedule a booking by giving us reasonable notice. The amount of notice required may vary according to the type of service, appointment length, and whether a deposit has been paid. Where specific notice periods are stated at booking, those periods will apply. If no specific period is stated, you should provide at least 24 hours’ notice where possible.

If you cancel with insufficient notice, fail to provide access, or are not ready for the appointment, we may charge a cancellation fee to cover lost time and administrative costs. Deposits may be retained in full or in part where late cancellation occurs, subject to applicable consumer law. If we must cancel or reschedule due to operational reasons, we will offer an alternative appointment or refund any advance payment for the affected booking, as appropriate.

We may also cancel the service without liability if we discover that the premises are unsafe, the service requested is materially different from what was described, or you fail to comply with these Terms and Conditions. In such cases, any refund or charge will be assessed fairly based on the circumstances and any work already undertaken.

6. Liability and Limitations

We will exercise reasonable care and skill in providing our services, but we do not exclude liability where it would be unlawful to do so. Nothing in these terms limits liability for death or personal injury caused by our negligence, fraud, or fraudulent misrepresentation. Subject to this, our liability is limited as set out below.

Cleaning technician managing equipment and service preparations inside a propertyWe are not liable for loss or damage arising from pre-existing faults, hidden defects, structural issues, unsuitable materials, or items that are already worn, frayed, weakened, or colour-damaged. We are also not responsible for indirect or consequential losses, including loss of profit, loss of enjoyment, inconvenience, or loss arising from delayed completion, except where such loss is caused by our negligence and is recoverable under law.

We will not be responsible for damage caused by your failure to disclose relevant information, follow our aftercare instructions, or remove delicate items from the work area. Where we are found liable for direct damage to property, our liability will be limited, at our option, to the cost of repair, replacement, or re-performance of the affected service, subject always to any limitation allowed by law.

7. Waste Handling and Regulations

As part of providing carpet cleaning services, we may generate wastewater, residue, packaging, or small quantities of waste material such as removed fibres, filter debris, and contaminated disposable items. We will handle waste responsibly and in accordance with applicable UK environmental and waste regulations. We aim to minimise waste generation and dispose of it in a lawful and environmentally responsible manner.

You agree that any waste originating from your property, including items discarded during the service, remains your responsibility unless we expressly agree in writing to remove it. We may dispose of limited waste created directly by the cleaning process where appropriate, but we are not a waste removal contractor and do not provide general rubbish clearance unless specifically stated. Any hazardous substances, sharp objects, biological contamination, or regulated waste must be disclosed in advance and may require specialist handling.

Where wastewater must be disposed of, we will take reasonable steps to do so lawfully and without causing avoidable pollution, blockage, or nuisance. You must ensure that drains, access points, and facilities used for waste disposal are suitable and safe. If unsuitable drainage, contamination, or prohibited materials are encountered, we may stop the service and charge for any time already spent.

8. Complaints and Remedies

If you are dissatisfied with any aspect of the service, you should notify us as soon as reasonably practicable and allow us a fair opportunity to inspect and, where appropriate, remedy the issue. We may request photographs, descriptions, or access to the affected area to assess the complaint. This assists us in determining whether the issue relates to workmanship, material condition, or a pre-existing problem.

Where a complaint is justified, our usual remedy will be to re-clean the relevant area or, if appropriate, offer a partial refund, replacement service, or other reasonable solution. We will not be required to provide a remedy where the concern results from matters outside our control, including post-service contamination, poor aftercare, re-soiling due to use, or inaccurate information supplied before the appointment. Any remedy will be determined in accordance with applicable law and the circumstances of the particular service.

Nothing in this section affects your rights under the Consumer Rights Act 2015 or any other relevant legislation. If a dispute cannot be resolved informally, both parties agree to act reasonably and to attempt to settle the matter without unnecessary delay or expense.

9. Variations to Terms

We may update these Terms and Conditions from time to time to reflect changes in our services, legal requirements, or business practices. The version in force at the time your booking is accepted will apply to that booking, unless a later change is required by law. Any updated terms will not affect services already completed or bookings already confirmed, except where the change is necessary for legal compliance.

If any provision of these Terms and Conditions is found to be invalid, unlawful, or unenforceable, that provision shall be deemed modified to the minimum extent necessary to make it valid and enforceable, and the remaining provisions shall continue in full force and effect. A failure by us to enforce any right or remedy shall not constitute a waiver of that right or remedy.

10. Governing Law and Jurisdiction

Finished carpet cleaning service with professional equipment and tidy workspaceThese Terms and Conditions, and any dispute or claim arising out of or in connection with them or the services provided by Harrow Weald Carpet Cleaners, shall be governed by and construed in accordance with the laws of England and Wales. Any dispute arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where consumer law provides otherwise. By booking our services, you acknowledge that you have read, understood, and agreed to these Terms and Conditions and that they form the basis of the contract between you and us.

Final Provisions

You agree that these Terms and Conditions, together with the agreed booking details, constitute the entire agreement between the parties in relation to the relevant service.
